Our Policy

1. Safeguarding & Child Protection Policy


ExtraGymnastics is committed to providing a safe, supportive, and positive environment for all children and young people participating in its activities. The welfare of the child is always the primary concern.


All coaches and staff working with ExtraGymnastics:

 

  • Hold appropriate qualifications for their role

  • Are DBS checked where required

  • Follow best practice guidelines when working with children

 

Children are always supervised during sessions, and appropriate coach-to-student ratios are maintained. Any concerns regarding a child’s welfare will be taken seriously and acted upon in line with
safeguarding procedures.


Designated Safeguarding Lead (DSL): Francesca Di Bella

 

Any safeguarding concerns should be reported directly to the DSL at info@extragymnastics.co.uk.

2. Health & Safety Policy


Extra Gymnastics aims to provide a safe environment for all participants by:

​

 

  • Carrying out risk assessments for activities and venues

  • Using appropriate equipment suitable for the age and ability of participants

  • Ensuring warm-ups and cool-downs are included in all sessions

  • Maintaining a clean and safe working environment

 

All participants are expected to follow safety instructions given by coaches. Any injuries or accidents will be recorded and managed appropriately.

3. Code of Conduct

Coaches and Staff
Coaches and staff are expected to:

 

  • Treat all students with respect and fairness

  • Create a positive, inclusive, and encouraging environment

  • Maintain appropriate professional boundaries at all times

  • Use appropriate language and behaviour

​

Students
Students are expected to:

 

  • Follow instructions given by coaches

  • Respect fellow participants and staff

  • Use equipment safely

 

Parents and carers are asked to support these expectations.

4. Complaints Procedure


If you have any concerns, please feel free to get in touch so they can be discussed and resolved in a positive way. Complaints can be submitted in writing to info@extragymnastics.co.uk.


ExtraGymnastics aims to maintain a high standard of coaching and organisation. Parents or participants are encouraged to raise concerns informally with the coach where appropriate. If it is not possible to
resolve the matter in person, parents or participants are welcome to contact us via email.

 


All concerns will be treated with care, confidentiality, and addressed as promptly as possible.

5. Privacy & Data Protection Policy (GDPR)
ExtraGymnastics collects and stores personal data only for the purpose of delivering its activities. This may include:
 

  • Contact details

  • Medical information relevant to participation

  • Emergency contact information

All data is stored securely and will not be shared with third parties unless required by law. Parents and participants have the right to request access to or deletion of their personal data.

6. Photography & Video Policy

​

Photographs or videos may occasionally be taken during sessions for promotional or educational purposes. Consent will be requested in advance, and images will be used responsibly.

 

Parents may withdraw consent at any time by notifying the coaches in writing.

​

7. Booking, Cancellation & Refund Policy

​

Bookings for ExtraGymnastics workshops must be made in advance. Spaces are limited and allocated
on a first-come, first-served basis.

​

Once a booking has been confirmed, refunds are not guaranteed due to limited spaces and venue and staffing commitments made in advance. However, refund requests may be discussed on a case-by-case basis by contacting info@extragymnastics.co.uk.
 

If ExtraGymnastics needs to cancel a workshop for any reason, a full refund will be issued.

8. Review of Policies

These policies are reviewed regularly to ensure they remain up to date and appropriate for the activities
delivered.

 


ExtraGymnastics is a trading name operated by Francesca Di Bella, a self-employed sole trader registered in
the UK.
